How to Update Shopify Prices From a Supplier Price List

A supplier email lands with a new price list — 400 rows, a mix of currencies, a SKU column that's actually called "Item Code," and a due date of "prices effective immediately." Retyping that into Shopify's bulk editor one product at a time is a half-day job you don't have, and open-and-eyeball spot-checking guarantees you'll miss a handful of changes. Why this is harder than it looks

Supplier price lists are rarely clean. Columns are named differently every time, prices might be wholesale-only or already include a suggested margin, and the join key — barcode or SKU — doesn't always match your store's export formatting exactly (leading zeros, dashes, whitespace). A naive VLOOKUP in Excel breaks the moment any of those things happen, which is why this ends up being a manual, error-prone chore instead of a five-minute task.

Step 1 — Export your store's current products

From Shopify: Products → Export → export all products as CSV. From WooCommerce: Products → All Products → Export. You want the export that includes SKU/barcode and current price — the default full export covers this.

Step 2 — Get the supplier's price list into XLSX, XLS or CSV

Most suppliers already send Excel. If you get a PDF, ask for the underlying spreadsheet — PDF-to-table extraction is unreliable enough that it's worth the one-line email back.

Step 3 — Upload both files

Open the Supplier Price List Matcher and drop your store export and the supplier file. The tool auto-detects likely barcode, SKU and price columns from both sheets and shows you what it picked — confirm or correct them if the guess is wrong (this is common when a sheet uses an unusual header like "Barcode (EAN)").

Step 4 — Set your margin and rounding

Enter your margin as a percentage markup over the supplier's cost, and pick a price ending if you want consistent .99/.95 pricing across the board. The tool calculates the new retail price for every matched row before you download anything, so you can sanity-check a few rows against your own math.

Step 5 — Review matches, then download

You'll see three groups: matched rows (with old price → new price), supplier rows with no match in your store, and store products the supplier list didn't mention. Matched rows become your price-update CSV, formatted for direct import into Shopify or WooCommerce's bulk editor. The other two lists are worth a quick scan — they often catch discontinued items or a supplier code that changed format.

A margin-and-rounding example

Say a supplier line item costs $12.40 and you apply a 45% margin: $12.40 × 1.45 = $17.98. With a .99 price ending set, that becomes $17.99. Doing this by hand across 400 rows, with different costs on every line, is where manual price updates usually go wrong — a single dragged formula with an off-by-one row reference silently mis-prices a chunk of your catalog.
